1. These terms

These terms govern your organisation's use of Safety Partnership Hub, provided by Fire Safety & Compliance Ltd (company number 14086764), 111 Gloucester Road, Bishopston, Bristol BS7 8AT, United Kingdom. By creating or using an account you accept them.

2. The service

We provide software for scheduling and recording safety checks, managing actions from fire risk assessments and surveys, storing compliance documents, and requesting quotes from contractors in our directory.

The service is a record-keeping and management tool. It does not provide fire safety, health and safety, or legal advice, and it does not discharge your duties as a responsible person or duty holder.

3. Accounts and users

• Accounts are set up by us following payment of any agreed set-up fee.
• Your administrators are responsible for adding, removing and setting permissions for users in your account.
• You are responsible for everything done under your users' logins. Keep credentials secure and tell us promptly if you suspect misuse.
• Records must be accurate. Deliberately falsifying safety records may be a criminal offence under the Regulatory Reform (Fire Safety) Order 2005 and other legislation.

4. Acceptable use

You must not upload unlawful, harmful or infringing content, attempt to access another organisation's data, probe or disrupt the service, or resell access without our written agreement.

5. Your data

Your records and uploads remain yours. You grant us the licence needed to host, process and display them to run the service.

On request, and while your account is active, we will provide an export of your records. Personal data is handled as described in our privacy policy.

6. Fees, storage and demo access

• Fees, including any set-up fee and ongoing charges, are as agreed with you in writing.
• Each account has a storage allowance. Uploads are limited to 5 MB per file and images are compressed automatically. If you exceed your allowance you may need to remove files or purchase more storage.
• Demo accounts are provided for a fixed trial period and lock automatically when the period ends.
• Fees are non-refundable except where required by law.

7. Contractors listed on the service

We operate a vetting process for contractors in our approved directory, which includes checking insurance, qualifications and accreditations, and reviewing them at least annually. Vetting is a documentation check only.

Fire Safety & Compliance Ltd is not responsible for, and gives no warranty about, any work carried out by a contractor. Contractors are independent businesses; we are not their employer, agent or guarantor, and we are not a party to any contract you enter into with them.

Confirming that a contractor is suitable for your particular job remains your responsibility. We strongly recommend you obtain at least three quotations from three different reputable providers before appointing anyone, and carry out your own checks.

We receive a commission of 10% from contractors on quotes accepted through the service. This is paid by the contractor, not by you, and may be reflected in a contractor's pricing.

Any dispute about work carried out is between you and the contractor. We may, at our discretion, provide records of quotes and messages held on the service.

8. Availability

We aim to keep the service available at all times but do not guarantee uninterrupted access. We may carry out maintenance, and we may change or improve features.

9. Liability

Nothing in these terms limits liability for death or personal injury caused by negligence, for fraud, or for anything else that cannot be limited by law.

Subject to that, we are not liable for indirect or consequential loss, loss of profit, loss of business, or loss of data where you have not maintained your own copies. Our total liability in any 12-month period is limited to the fees you paid us in that period.

Your statutory rights as a consumer, where they apply, are not affected.

10. Suspension and termination

Either party may end the agreement on 30 days' written notice. We may suspend or close an account immediately for non-payment, serious breach, or unlawful use. After closure we retain records as set out in the privacy policy, then delete them.

11. Governing law

These terms are governed by the law of England and Wales, and the courts of England and Wales have exclusive jurisdiction.
